Senior Accountant

POSITION DESCRIPTION

Position: Senior Accountant Reports to: Finance Director Revision Date: April 2026 Classification: Exempt, Full-Time

Introduction

[Client Organization Name] is a leading non-profit organization dedicated to [brief mission highlight – e.g., advancing arts, culture, education, or your client’s specific focus]. The Senior Accountant plays a key role in supporting the accounting and finance functions through accurate reporting, reconciliations, budgeting, and analysis. This position assists the Finance Director in achieving the department’s goals while ensuring compliance with non-profit accounting standards.

Responsibilities/Duties

This role includes both onsite and remote responsibilities:

  • Actively participate in the annual budget process, including preparation of departmental Excel templates, creation of job templates, data gathering, and uploading budgets into Microix and MIP (uploading into MIP must be performed onsite with the Finance Director).
  • Reconcile monthly bank statements (initial reconciliations performed onsite for review/sign-off by the Finance Director; originals delivered or mailed to the office). Follow up on offsite items as needed.
  • Prepare recurring journal entries for payroll/benefits, grant timesheets, interest/dividends, and other allocations (original entries and supporting documentation must be provided onsite for review/approval).
  • Assist the Finance Director with various accounting functions and ad-hoc reporting as needed.
  • Provide cross-training and backup support for other accounting positions, including Payroll and Accounts Payable (AP) check runs, which must be performed onsite.
  • Prepare monthly flash reports.
  • Track and record endowment fund activity; update endowment usage reporting on a monthly and quarterly basis.
  • Review budget-to-actual reports and provide clear variance explanations.
  • Assist with quarterly financial reporting for the Board of Trustees.
  • Perform analysis and reconciliations of balance sheet accounts.
  • Maintain the fund summary schedule, tracking accessions and deaccessions; save supporting documents (check requests, invoices, and proposals) in the O Drive.
  • Maintain the fixed asset schedule, including additions, disposals, and calculation/recording of depreciation expense.
  • Prepare schedules for the annual external audit and Form 990.
  • Generate quarterly reports for the leadership team and Board of Trustees Development (post-flash reports).
  • Archive biweekly payroll records; download quarterly payroll tax filings; complete year-end PTO accrual adjustments and inventory collapse.
  • Identify and implement process improvements and efficiencies in accounting procedures.
  • Maintain strict confidentiality regarding all sensitive organizational information.

Supervisory Responsibilities

Provide backup supervision for Payroll, Accounts Payable (A/P), and Accounts Receivable (A/R) processing as needed.

Skills and Requirements

  • Proficiency in Microsoft Office, with advanced Excel skills (power user level required).
  • Strong experience with accounting software; ABILA MIP experience strongly preferred.
  • Solid knowledge of core accounting functions, including general ledger, accounts receivable, accounts payable, fixed assets, payroll, journal entries, reconciliations, inventories, POS systems, and period-end closing.
  • Familiarity with fund accounting and other non-profit-specific accounting concepts.
  • Knowledge of IRS regulations applicable to non-profit organizations.

Qualifications/Education

  • Bachelor’s degree in Accounting or Finance from an accredited college or university required.
  • CPA or CPA candidate preferred.
  • Five or more years of relevant accounting experience; non-profit experience strongly preferred.
  • Demonstrated experience with budgeting, financial reporting, and variance analysis.

Other Job Requirements

  • Satisfactory completion of pre-employment drug screen, background check, and Motor Vehicle Record (MVR) clearance.
  • Personal smartphone required.
  • Ability to remain in a stationary position for extended periods, operate standard office equipment, and navigate organizational facilities.
